What to ask during a venue site visit

Choosing a venue is about more than how it looks. A site visit gives you the opportunity to understand how the space will work for your event, your guests and your plans.

Whether you’re organising a concert, private birthday party, wedding or conference, take this checklist with you:

1. Is the space right for my event? Ask about room layouts, guest capacities and how the space can be configured for your event.

2. What’s included in the hire? Clarify whether furniture, staff, set-up and cleaning are included, and ask about any extra charges.

3. What technical facilities are available? If you need microphones, speakers, lighting, screens or Wi-Fi, check what’s available and whether you can use your own equipment or suppliers.

4. How will guests and suppliers get there? Ask about accessibility, public transport, parking, delivery access and the arrangements for loading in equipment.

5. What timings and restrictions should I know about? Confirm when you can access the venue for set-up and breakdown, along with any noise, music or closing-time rules.

6. What are the arrangements for food and drink? Find out whether you can bring in your own caterers, food and drink, or whether there are venue requirements to consider.

7. What are the booking and cancellation terms? Make sure you understand the payment schedule, deposit and what happens if your plans need to change.

A site visit is the ideal time to ask questions, talk through your ideas and see how the details could come together.

Greenwich Borough Hall welcomes all kinds of events, including concerts, private celebrations, weddings and conferences. Contact us to arrange a visit and discuss your plans.
